The types of personal information I collect

The information I collect may include your name, postal address, e-mail address, telephone number and tax ID.

Personal data may also include information in source texts or reference material sent for the express purpose of translating, editing or proofreading. That data will also be stored, but only for the specific purpose of issuing a quotation or translating, editing or proofreading the texts.

How I get the personal information and why I have it

Most of the personal information I process is provided to me directly by you for one of the following reasons:

  • You have made a query or requested a quote
  • You have entered into a business relationship with me
  • You have sent me texts to translate, edit or proofread and/or for use as reference material

Please bear in mind that texts you send me may contain the personal data of other people. When I receive such texts, I will assume that you have the right to send me their personal information for the purposes set out above.

I use the information you have given me in order to perform the translation service, editing service or proofreading service you have requested or to take necessary steps prior to fulfilling your request, to keep internal business records and maintain customer relations, and to comply with legal requirements.

I do not use personal data for marketing purposes (other than occasionally informing you of my availability).

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases I rely on for processing this information are:

(a) a contractual obligation

and/or

(c) a legal obligation.

How I store your personal information

All data is stored securely on my password-protected personal computer, in password-protected files where appropriate, and is not accessible by third parties.

To comply with UK tax law, I will keep your personal data for 7 years, unless you ask me to delete it sooner. I will then dispose of your data by destroying all electronic and paper copies securely.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask me for copies of your personal information.

Your right to rectification – You have the right to ask me to rectify personal information you think is inaccurate. You also have the right to ask to me complete information you think is incomplete.

Your right to erasure – You have the right to ask me to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask me to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that I transfer the personal information you gave me to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.
